Too Much Email

Justin: a question to Kayako

How does the integration with email work? I use a lot of rules to pre-filter stuff. I do not read every email. Some are newsletters and stuff, which are automatically filed away and then indexed by Google desktop where I can search for stuff and will find the content if needed.

That would translate for Kayako, that I would need the ability to create a lot of automated rules that files stuff away into the knowledge base, but in most cases already into specific categories, others into general categories and the rest into something like an unsorted folder to dump stuff that can not associated with something specific yet.

How does that work in Kayako? How is the advanced search and the filtering?

Google desktop does not allow you to filter by categories or tags, what is a little bit of a bummer, but at least is it able to handle the workload. Copernic and MS Desktop Search both choked on it and died :)

Next issue would be to get my 300+ RSS feed subscription integrated :)

Same here. Only different. I'm always drowning in emails. It seems that since email is free, people are more willing to email you multiple times about tiny issues, which get in the way of the real things you want to be working on.. Maybe charging per email might work =P

Google Desktop Search (MS Desktop Search and Coppernic both died in the attempt to deal with my data volume hehe).

and I am using Outlook AND Outlook Express in addition to that... note: each of their Rule Managements kind of suck and a version that combines the features of both would be kind of okay.

I find the key to email management to be in something called Kayako... It's an email ticket system that guarantee's the user an immediate response... But more imporantly it has two other features that save so much time:

1) Saved Responses: Get the same question alot, use a template to reply

2) Knowledge Base: If you run all your emails through this, you can start building a knowledge base so that in theory, people can just look at the knowledge base instead of emailing you.

It also helps ALOT with the transition to getting other people to answer your email for you ;-).
